Privacy policy

What this website collects, why, and what we do with it. In plain words, because a privacy policy nobody can read is not really a privacy policy.

The short version

We collect what you send us, and nothing else

If you fill in a form, we get what you typed. If you join the newsletter, we get your email address. That is the whole of it. We do not sell data, we do not share it for anyone else's purposes, and we do not build profiles on you.

The Science Together app is covered by its own policy, because it works differently: nothing about your family ever leaves your phone.

Who we are

This site is run by NOVA outreach Ltd, a private company limited by shares registered in England and Wales, company number 16944911, registered office 5 Guenever Close, Cardiff, CF14 9AH. We are the data controller for anything you send through this website.

For anything at all about your data, email enquiries@novaoutreach.co.uk and a person will answer.

What we collect, and why

When you fill in an enquiry form

The Schools, For Companies and Contact forms collect what you type into them: typically your name, your school or organisation, your email address, a phone number if you give one, and your message.

We use it to answer you and to arrange the thing you asked about. The lawful basis is legitimate interests, specifically replying to someone who has asked us a question, and where it leads to a booking, performance of a contract. Enquiries are kept while the conversation is live and for up to two years afterwards, so that a school coming back to us does not have to start again.

When you join the newsletter

We collect your email address, and only ever because you asked us to. The lawful basis is consent. Every email has an unsubscribe link, one click, no questions, and unsubscribing removes you from the list.

We use it to tell you about new books, app releases, free resources and research findings. We do not send anything else, and we never pass the list to anyone.

When you buy something

When the shop opens, checkout will collect the details needed to take payment and post an order: your name, email, delivery address and order contents. Card details are handled by Stripe and never reach us. The lawful basis is performance of a contract, and order records are kept for six years because tax law requires it.

Donations work the same way, through the same payment processor.

When you simply visit

Our website host, Squarespace, records standard technical information such as pages visited, approximate location, browser and device type. This is used to understand which pages are useful and to keep the site working. It is not used to identify you personally, and we do not run advertising trackers.

Who else sees it

Only the companies that make the site work, and only for that purpose. None of them is allowed to use your data for their own ends.

  • Squarespace hosts the website and delivers form submissions to us
  • Google Workspace holds the enquiries@novaoutreach.co.uk mailbox where your message arrives
  • Stripe processes payments, when the shop and donations are live

Some of these operate outside the UK. Where they do, transfers are covered by the safeguards those providers have in place, such as UK International Data Transfer Agreements or adequacy decisions.

Cookies

The ones we need, and the ones you choose

Some cookies are necessary for the site to function at all, remembering your cookie choice, keeping a shopping basket, and keeping checkout secure. These are always on, because without them the site does not work.

Anything beyond that, such as analytics, is optional and only runs if you agree through the cookie banner. You can change your mind at any time by clearing your cookies and choosing again.

Children

This website is written for adults: teachers, parents, funders and partners. We do not knowingly collect personal data from children through it, and the forms are intended for adults to complete.

Pupil surveys carried out during school sessions are separate from this website. They are run with the school's agreement, they do not collect names, and they are covered by the information sheet provided to the school.

Your rights

Under UK GDPR you can ask us to:

  • Tell you what personal data we hold about you, and give you a copy
  • Correct anything that is wrong
  • Delete it, where we do not have to keep it for legal reasons such as order records
  • Stop using it for a particular purpose, or restrict how we use it
  • Withdraw consent at any time, which for the newsletter is the unsubscribe link

Email enquiries@novaoutreach.co.uk and we will deal with it within one month. There is no charge.

If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk, though we would rather you told us first so we can put it right.

Changes to this policy

If this policy changes, the new version appears at this address with a new date. If a change materially affects how we use data you have already given us, we will tell you directly rather than quietly updating the page.
